NEW SR.BOOKKEEPR, in a FUN environment! We are seeking an experienced Full-Charge Bookkeeper with Job Costing expertise to join our growing team in West Chester, PA. You will oversee daily financial operations, manage general ledger accounts, process payroll, and ensure precise job-level expense tracking across all active projects.
Key Responsibilities
- Job Cost Allocation: Assign labor, materials, equipment, and overhead expenses to specific project codes; evaluate project margins against initial estimates.
- Accounts Payable & Receivable: Code and input vendor invoices, issue customer progress billings, track collections, and reconcile project expenditures.
- Payroll Processing: Process weekly payroll, ensuring employee hours and allocations accurately map to assigned job codes.
- Account Reconciliation: Reconcile bank statements, credit card accounts, and general ledger accounts during month-end close.
- Compliance & Compliance Tracking: Collect W-9s, manage subcontractor Certificates of Insurance (COI), and prepare annual 1099 filings.
- Reporting: Generate monthly profitability and WIP (Work-in-Progress) reports for executive leadership and project managers.
Qualifications
- 3–5+ years of full-charge bookkeeping experience.
- Demonstrated background in job costing within construction, contracting, manufacturing, or project-based service industries.
- proficiency in QuickBooks (Desktop or Online), Excel, or specialized software (Sage, Foundation, or NetSuite).
- Clear understanding of project cost structures, AP/AR workflows, and general ledger reconciliation.
- High school diploma required; Associate degree in Accounting or Business preferred.

Responsibilities
Key Responsibilities
- Job Cost Accounting: Track project expenditures, assign costs to specific jobs/tasks, process subcontractor invoices, and evaluate project profitability against budgets.
- Accounts Payable & Receivable: Process AP invoices, issue customer billings (progress billing/AIA billing where applicable), manage collections, and process payment disbursements.
- General Ledger & Month-End: Reconcile monthly bank and credit card accounts, prepare journal entries, and assist with month-end financial statement close.
- Payroll Processing: Collect, verify, and input employee timecards allocated by job/project; process weekly or bi-weekly payroll.
- Vendor & Subcontractor Compliance: Maintain vendor records, collect W-9s, manage Certificate of Insurance (COI) tracking, and prepare annual 1099s.
- Financial Reporting: Generate monthly job cost reports, variance analyses, and cash flow summaries for ownership and project managers.
